CDSR ITB has a plan to organize a conference entitled INTERNATIONAL CONFERENCE ON RENEWABLE ENERGY AND SUSTAINABLE BUILT ENVIRONMENT (ICRESBE 2019) on 13-14 September 2019 in Bandung. This International Conference activities include Keynote Speech (from scholars from United States, New Zealand, Malaysia, and Indonesia), Parallel Session (participant who submitted an extended abstract will present their research), and Publishing Paper (after presented their research on the conference day, authors required to submit their full paper which then will be proceed to blind reviews and editing). Term of References for this activity was approved on March 2019. Our plan is to have a minimum of 90 participants include authors and observer. We targeted that 30 CDSR members will submit their articles. The overall budget for this conference is Rp 300. 000. 000, 00. However, on July 2019, the budget was cut down to Rp 100. 000. 000, 00. We then proceed to downscale the conference and cancelled the overseas keynote speakers to come to our event. At the conference, there are 39 participants including authors, observers, keynote speaker, invited guests, and organizing committee. The event held on 14 September 2019 from 08. 30 - 17. 00 at Luxton Hotel Bandung. The 4 keynote speakers (Prof. Dr. -Ing. Ir. Priyono Soetikno from Institut Teknologi Bandung, Prof. Dr. -Ing. Ir. Misri Gozan, M. Tech. from Universitas Indonesia, Dr. Rachmawan Budiarto, ST., MT. from Universitas Gadjah Mada, and Ir. Robby Dwikojuliardi, MT, IAI. from Institut Teknologi Bandung, mainly delivered presentation about renewable energy application, energy storage, and sustainable buildings. Presenters were then divided into two parallel session which are Renewable Energy and Sustainable Buildings.

There are 20 authors submitted their extended abstracts and 19 of them presented their research on the one day conference. The authors are now preparing their full paper to be reviewed and edited. The plan is to submit their full paper in the online proceedings of IOP Earth and Environmental Science with additional cost of 40 GBP per article. This proceeding will indexed by Scopus, EI Compendex, and Inspec. After the submission of the files we aim to publish the volume in 6-8 weeks. Because of the procedure of IOP, we still don’t have the invoice yet. The final invoice for publishing the submitted papers to IOP Proceeding would be around 18 December 2019. That is the latest day for us as organizer to submit all edited and reviewed articles to the IOP Publisher. Until that day, we still need to wait for all the authors submit their full paper then review the format and content of their articles (peer review), check the plagiarism, proof read, and submit all the articles to the publisher again. Because ICRESBE using Conftool website for managing paper submission and participation registration for the conference event, there will be a fee of €1. 75 (without German VAT) per participant will be charged after the event. This fee does not apply to organizers and local volunteers without participation fee. In the ICRESBE event on 14 September 2019, there were 18 Authors who submitted the extended abstract, registered for the conference, and made payment. Additionally, there were 2 Authors who were free from the registration fee because they are CDSR member. Also, there were 4 attendants who paid the registration fee for the conference and 15 persons who are free of charges (keynote speakers, invited guess, and organizer members). According to this data, the Conftool team will make new invoice for their services. ICRESBE organizer still need to wait for the final invoice.

When the budget from USAID was cut down to Rp 100. 000. 000, 00 in less than two month before the conference event was the most challenging. We have to reorganize the event and overall budget and cost for venue, invited keynote speakers, and the another cost which was related to the number of participants. Without the overseas keynote speakers, some prospective authors cancelled to participate in this conference. That is why, the number of participant was below our expectations. Organizer have to submit papers to IOP Proceeding before 18 December 2019. That is the latest day for us as organizer to submit all edited and reviewed articles to the IOP Publisher. Until that day, we still need to wait for all the authors submit their full paper then review the format and content of their articles (peer review), check the plagiarism, proof read, and submit all the articles to the publisher again. Because some of the organizing committee members have already move to another country to pursue their PhD program, the remaining committee members should work extra hard to finish all the reports and articles until it will all be published. Because of that, we make a team to be appointed as editors and reviewers who will manages, edit, and review all the papers.

In this conference, organizer and participants gain new knowledge about renewable energy and its application in the built environment. Hopefully, after this conference, there will be new collaboration between institutions.

It would be better to make participant directly submit their full paper prior to the conference day. we could select and manage peer review for the paper that worth to be presented and published in the indexed proceedings. However, this would takes more time to prepare before the conference event. The budget should not be decreased because with more budget we could invite overseas keynote speakers that would attract more participants and gain more knowledge from the international expert related to renewable energy and sustainable building.
