SMART CITY together with Universitas Udayana and Department of Architecture Universitas Indonesia deliberately consider the feasibility of creating a virtual conference to address the COVID-19 pandemic that discourarge unessential travels.
ICSCI has received a total of 147 abstracts, with 7 of it as RCEneE abstracts. The majority of abstracts came from Indonesia (138 abstracts), and ASEAN countries such as Malaysia, Phillipines, Laos, and Cambodia. SMART CITY has already send 1, 333 promotional emails for ICSCI and 256 for RCEneE. A good number of emails replied to inquire the committee about the event going virtual.
1. The contract between AUN/SEED-Net and Universitas Indonesia will only cover for traveling cost, hotel rooms, and meeting packages. Further discussion is required in order to cover virtual conference costs; 2. Emails asking about virtual event option does not translate as agreeing to register for a virtual event; 3. The half-in-person, half-virtual conference approach may confuse as it is the first of its kind.
SMART CITY and Universitas Udayana should explore options and identify necessities should a virtual conference takes place. SMART CITY will also have to prepare a strategy should the prospect that should've been able to register for a in-person conference, register as a virtual participant.
SMART CITY will reevaluate the ICSCI budget to explore whether the virtual option is doable. SMART CITY and Universitas Udayana will also have to inform well to the public about the half-in-half conference should this go through. SMART CITY should also do a follow-up meeting involving AUN-SEED representative before making a decision about the possibility of a virtual conference. The team together with AUN/SEED-Net will discuss further more in the next meeting with an updated budget and software options to facillitate a virtual conference.
